Managed Exchange

Managed Exchange

Managed Exchange is a hosted offering of Microsoft Exchange 2000™, which provides your business with all of the advanced messaging and staff collaboration functionality of Exchange without the hassles and large costs associated with hardware, licensing, maintenance and support.

Managed Exchange provides anywhere, anytime access to e-mail, calendar and contacts. All you need is to have your mail hosted by WebCentral to utilise the Managed Exchange products. This solution is available as two products designed to suit different business needs:

  • Managed Exchange Web Access - access to your Outlook via a web browser from any PC with internet access; or
  • Managed Exchange Web & PC Access - run the Microsoft Outlook 2002™ client on your PC and have anywhere, anytime access via an internet browser on any PC when not in your office. Exchange Web & PC Access also includes access to the web based Exchange Web Access client.

Add-on Products

  • For even greater flexibility, Managed Exchange offers an add-on mobile product that is ideal for staff that need instant, real-time access to their information while on the road via mobile computing devices.
  • The Outlook SMS add-on is a convenient extra that enables you to receive important e-mails or reminders direct to your phone. N.B. The SMS Outlook Add-on is only available with Managed Exchange Web & PC Access.

Charged on a per seat basis, Managed Exchange is a robust, highly scalable platform that will revolutionise the way your business manages electronic messaging and collaboration.

Features

  • E-mail - E-mail is the ideal business tool that allows effective communication with customers and colleagues. Managed Exchange provides users with rich functionality to manage their e-mail.
  • Tasks - The Task Manager allows users to track a task or project through to completion. Tasks can occur once or repeatedly at regular intervals.
  • Contacts - Automatically link e-mails, appointments and tasks with specific contacts. Easily locate, send and receive contact information.
  • Notes - Notes are the electronic equivalent of sticky notes. Use notes to jot down questions, ideas, reminders and anything you would write on note paper. You can leave notes open on the screen while you work.
  • Calendar - Easily schedule one-time and recurring meetings. Access your web-based calendar any time, anywhere. Publish it as a a web page and choose from several views including daily, weekly and monthly.

Benefits

  • Access Anywhere - Staff can access Managed Exchange using a web browser from any PC or internet kiosk. Run Microsoft Outlook 2002 on a laptop or desktop PC, or choose a mobile computing device.
  • Employees on the Road - A complete portable solution, Managed Exchange lets users take information on the road. Off-line folders allow the user to work with server-based information whether online or off-line. Managed Exchange automatically synchronises Off-line Folders in the background.
  • E-mail Folders - E-mail folders help you manage your e-mail effectively. The Deleted Items folder shows you the e-mails you have deleted but have not yet “emptied to trash”. The Drafts folder shows e-mails you are working on but have not yet sent. You can create new folders and use rules to automatically organise your e-mail.
  • AutoName Check - Outlook will check mail addresses against the address book. Names with duplicate entries or that have been misspelled will be underlined with a wavy red line to highlight a correction or a choice needing to be made.
  • Flag For Follow-up - Allows users to flag e-mail messages or contacts to help prioritise, schedule and track follow-up actions (such as reply, read or call back). Users can easily sort by Follow-up Flags to track completion.
  • Rules Wizard - Makes it easy for users to create rules that automatically folder, delete, highlight, forward and flag incoming and outgoing e-mail. Rules enhance your e-mail management and prioritisation. Features are also included to identify and deal with "junk" e-mail or "Spam".
  • Automatic Colour Formatting - Automatic Formatting (Colour) tab guides users through creating rules to highlight matching messages with a different colour or font so that important messages can stand out in overstuffed Inbox folders.
  • Message Recall - This allows a user to recall a message that has been sent. As long as the recipient has not opened or moved it and is also using Microsoft Exchange then the message can be removed from the recipient’s inbox.
  • Read Receipt - Managed Exchange users can control whether read receipts are always returned, never returned, or the user is prompted to decide about whether to return a receipt when they read a message. When a read receipt tracking feature is used, all receipts are recorded along with the original message and the tracking log can be printed.
